Event Management

« Polling | Main | Cross-Platform Compatibility »

The event management facilities available through webTrain offer many options and allow the presenter to organize and invite attendees through a well organized control panel.

WebTrain provides three different kind of event "templates" providing the presenter/moderator with a certain degree of flexibility about the main characteristics and default features of the event to be created. For example, the "Course" template provides the option to schedule multiple classes while the others do not. Also, the terminology used in each type of event varies employing different terms depending on the event "type" selected ("presenter" in a presentation, "host or moderator" in a conference, "teacher" in a course).

In the scheduling and setting up of an event the presenter/moderator can pre-designate co-presenters as well as class size, maximum number of participants allowed and maximum duration of the event.

The event management facility takes care of international time zones and prompts you always to verify that the time zone utilized by WebTrain and displayed inside this facility is effectively the one of your time zone. People invited to event receive the scheduled event time already converted in their own time zone reference.

Integrated in the event management facilities is a very easy-to-use and effective e-commerce facility allowing you to make your scheduled event either free (with or without a registration) or fee-based according to your own specifications.

Invitations can be easily sent via email through the administration panel the host has available outside of the WebTrain meeting room.

It is also possible to email a (link to a) recorded event to a friend, and to email confirmation of enrollments as well invitation reminders.

WebTrain meeting rooms can be set to either "Public" or "Private", requiring the participants the use a password to enter the event.

Limitations

One major limitation of scheduling future sessions is the difficult path required to arrive at the event management facility. Hidden inside the "Manage My Account" area, it is also placed in a rather deep position on a long scrolling page making it quite a challenge for anyone unguided to find this feature alone.

Also, once you are inside a WebTrain session it is not possible to invite other participants. A new feature covering this critical missing function is upcoming in the next release.
