Differently than most other web conferencing tools, smartMeeting can be used to provide the facilities for one-time events as well as for the ongoing (persistent) use of a secure, shared virtual estate office space equipped with collaboration and presentation facilities.

In this view the need for facilities dedicated to event management is somewhat different than in the traditional use of web conferencing systems and complementary to the effective use of such a space.

smartMeeting does provide a basic event management facility that supports the tasks of inviting other people to an office space and of maintaining lists of contacts of people who have accessed your virtual office before.

The invitation facility can be accessed while inside a smartMeeting office space, as well as from the main Web-based interface, once the meeting host is logged in with the appropriate username and password.

The invitation facility allows to easily input an email address and to complement it with a personalized invitation message. The message is sent from the smartMeeting servers and is immediately routed to the selected person.

If the invited person does not have smartMeeting software installed, the invitation provides a direct link to download and install the needed toolkit.

Cons:

  • The Web-based invitation facility is ambiguous in the way it works and in how functions are labeled. The two columns shown on the invitation page are confusing with regard to what they are listing.
  • No clear feedback is provided when invitations have been sent and it is unclear for the end user how to see which invitations have been actually sent and when.
