Event ManagementPolling Main Cross-Platform Compatibility When your customers, colleagues and business partners access your personal WebOffice site on the Web, they can see if you are available, send you instant messages and request to join an ongoing Web meeting. Site visitors can also search for specific Web Offices, a feature that could be very useful when WebOffice is installed inside large organizations. Moreover, guests can leave messages and business cards or drop files at any virtual office making the Polycom WebOffice not only a meeting place but also a reference point for communications and exchanges between team members. If you access your own WebOffice site on the Web, you have to login to enter your personal virtual WebOffice, which includes WebOffice Manager and WebOffice Meeting Manager. Once you have logged in at your personal WebOffice site, the Web Office Manager (WOM) is presented to you, which allows you to start your online meeting. The Web Office Manager also allows you to send and receive instant messages, edit information about your availability (status), detect current meeting visitors and view a buddy list with the status of your buddies displayed (available vs. unavailable). You can also use WOM to manage your preferences and profile data. WebOffice provides a simple dialog box for setting the characteristics of a virtual room. It is possible to set a sound alert or a pop-up message to be triggered when participants arrive at your WebOffice. Access passwords and owner password can be easily managed and changed from the WebOffice Preferences dialog box. Once you have clicked the "Start Meeting" button in the Web Office Manager, the WebOffice main application window (Web Office Meeting Manager) opens up. The Web Office Manager window remains open, as well, and lets you manage your Web Office.
Inviting guest to your meeting is a cumbersome operation. First you have to provide them with the URL of your WebOffice via email or phone. Then you have to wait until they enter your office. When you have been alerted that they are available, you can finally send them an instant message with an invitation to your meeting. Polycom WebOffice does not have any invitation facility outside of instant messaging, which works only with "buddies" and colleagues who also have a Polycom Virtual Office. There is no facility that allows to schedule meetings systematically.
