Moderator Controls

ASAP provides an extensive array of controls for the Presenter/Moderator and it actually provides the ability to differentiate among these roles thus providing more possibilities for collaborative work, presentations and business meetings than most other real-time collaboration tools.

First of all one need to understand that ASAP considers four different classes of possible participants in a meeting: 1) Moderator, 2) Presenter, 3) Licensed Users, 4) Guests.

Moderators have the highest number of rights and priviliges, some of which like Disable Invitations (Lock the Meeting), Disable Emotisounds, Change/Assign Roles, Mute and Mute All, Remove from Meeting or End a Meeting, are reserved only to them.

The Moderator of a meeting can:

a) Turn on meeting features, Audio, Video, PowerPoint presentations, and Screen-Sharing. These capabilities are not available to others until the Moderator turns them on.

b) Manage the Audio/Video Podium. The Moderator controls who can broadcast audio and video to the participants of the meeting. Note that only one person can broadcast at a time in meetings involving three or more participants.

c) Designate others as Presenters. A Presenter can conduct Presentations and Screen-Sharing sessions and control the podium. Only ASAP licensed users can be Presenters.

d) Promote other ASAP licensed users (only) to be Moderators.

e) Control meeting settings. Only the Moderator can designate privileges for Presenters and Participants, such as raising and lowering hands, muting individuals, locking the meeting (preventing invitation of additional participants), and making annotations.

Other rights and privileges can be assigned by the Moderator to other participants. For example, the ability to start and stop audio and video or to deliver a live Powerpoint presentation is assigned by the Moderator.

To access the main Moderator Controls, you need to access the "Moderate" tab available at the bottom of the ASAP Meeting Console.

A full moderator menu is also immediately accessible inside the ASAP Meeting Console. The menu allows manual selection of moderated or unmoderated meetings.

Alternatively, by accessing the Moderate tab at the bottom of the ASAP meeting console, one can directly select anyone participant listed there and assign specific rights and privileges to that person.

Further to the above the Moderator can access an advanced set of controls that allow the specific activation of each individual right and privilege to each participant.

Additionaly the Moderator can simply select anyone of the participants inside the Moderate tab and elect that person to the Podium, making him/her an instant Presenter.

Through the General Preference settings any licensed ASAP user can also set some very useful privacy controls. These include:

a) Automatically show me as Away after...
Enter a number of minutes between 1 and 1000. If ASAP detects no activity for the specified amount of time, it will change your status to Away. If you specify 0, your status will never appear as Away.

b) Show me as Busy when I'm meeting with...
Enter the minimum number of people in a meeting that will trigger your presence status to be changed to Busy.

c) Automatically show me as Do Not Disturb when I'm screen-sharing.
This feature protects the end user from having alerts disturbing her when you presenting or sharing a desktop application.

d) Only accept messages from users on my Contact List.
When activating this feature other users not on your Contact List will see you as Unavailable. In addition, your Contact List will not include a Blocked List (because everyone except your contacts is blocked).
