Convoq ASAP

ASAP enables you to send files to contacts who are both online or offline.

Files can be sent at any time during a live meeting and each one of the attendees receives a notification to download the specified file.

Specifically:

1) From the Meeting Console, select Activities > Send a File.
This displays the Send Files page.

2) On the Send Files page, either enter the full pathname for the file or click on Browse to find the file. (Maximum file size is 20 MB.)

3) Click on Upload to send the file.

The meeting participants will receive a message containing the filename. They can then click on the message to save or open the file.

Offline ASAP contacts will receive an e-mail and an ASAP message (viewable inside the ASAP messaging area IMbox) containing the URL of the file to be downloaded. When the recipient clicks on the URL, a Web page with a link to the file to be downloaded is displayed, as well as any message sent along with it.

Non-ASAP users will receive an e-mail containing a URL.



Cons:

  • Users of Convoq ASAP can send files to other contacts but cannot share files in real-time during a live meeting. Meaning: users can indeed send files to each other, but each individual user is required to take some proactive action and a number of individual steps to accept, download, receive and open the document/file to be shared.

  • E-mail invitations sent from ASAP to Hotmail or MSN accounts either are not being delivered at all or are delivered to the users' junk mail folder. Legitimate e-mail from ASAP arrives in the junk folder. This is due to setting the spam control options to "Enhanced" or greater in your Hotmail or MSN account.

    Some specific solutions from the Convoq Knowledgebase:

    Each of these approaches will improve delivery to a Hotmail or MSN account.

    a) Use an inviting or pleasant message as the first line of chat text when inviting people through e-mail via the Meet Now or Meet ASAP features. For example, use "Dear Fred," rather than "Hey Stupid." The text of this first line is used in the body of the e-mail message. We have found that bracketing your message on the first chat line with hyphens (e.g., -Dear Tony-) allows most legitimate messages to arrive when they would not otherwise.

    b) When sending files with ASAP, use a filename that is not offensive or that could otherwise be construed as spam. You may have to experiment with this to select the right filename.

    c) Have your regular invitees and recipients add "customercare@convoq.com" and your e-mail address to their contact lists in their Hotmail or MSN accounts.
