Event Management is what Convoq ASAP excels at. Convocation management may be said to be in fact the art of managing people invitations and gatherings in a rapid, efficient and automated way.

ASAP, differently than most other conferencing and collaboration tools, finally acknowledges virtual meetings that can be started as soon as everyone becomes available. By keeping a discrete contact with all of your teammates through ASAP' support for multiple major instant messaging protocols, Convoq technology has all that it needs to make sure everyone is available before calling the meeting.

While working with ASAP there are multiple ways in which one can invite other people to participate in a live meeting.

Invitation management

You may invite anyone to an ASAP meeting - even non-IM users.

If you invite someone who has an IM system only, he/she will receive the meeting invitation as an IM message containing a link that opens a Meeting Console in a browser window. Similarly, if you invite someone who has no IM presence, he/she will receive an e-mail message containing the meeting link (which also opens a Meeting Console browser window). Naturally, non-ASAP participants have fewer meeting privileges, but they can still participate.


There are two ways to invite people to a meeting:

Select them from your Contact List and click on Meet Now or Meet ASAP.

a) If you clicked on Meet Now and all the invitees are available, ASAP will display the Meeting Console so you can begin the meeting. The names of the invitees will appear in the Meeting Console.

If any of the selected contacts are unavailable, ASAP will display the Meet Now dialog box so you can specify how you want to handle the unavailable ones. When you click on OK, ASAP will send invitations, alerts, or messages to the invitees and start the meeting.

b) If you clicked on Meet ASAP, ASAP will display the Meet ASAP dialog box so you can specify:
a) how long you want to wait for the invitees to become available
and,
b) optionally, which invitees are required for the meeting to take place.

When you click on Go, ASAP will put the meeting in your Pending Meetings list until either the invitees become available (at which point the meeting becomes Ready) or the time runs out.

If none of your invitees attends a meeting, ASAP will display a dialog box that asks whether you want to send them a message about the meeting. ASAP users will receive a link to your message in their IMBox. Non-ASAP users will receive a link (via their IM system or e-mail, as appropriate) to a Web page that will display the message.
